Overview
Potential Meetings is the selected client workspace for prospects that may become meetings. Search, status, campaign, and Set By controls narrow the list, while advanced filters and saved columns support deeper review. The table uses the original Set By value for attribution and does not duplicate it as Owner. Overdue prospects remain visible through the Overdue summary, follow-up date treatment, and explicit Overdue label without tinting the entire row. Call and selection controls continue to follow the shared warm-prospect eligibility decision.
How to use this page
Open the Potential queue
Choose a client, then open Potential Meetings under Meetings. The Platform header identifies the route as Potential Meetings, and a table-shaped loading state appears while the read completes. No client selection shows a prompt instead of the table. The overview count is the actionable Potential follow-up total, while Past potentials remains a separate historical view.
Understand the visible scope
Potential Meetings is access-scoped for the selected client. Manager-level and other authorized leadership roles can review the selected client's full permitted Potential scope. Circular Action Alliance client users also see that full selected-deal queue. Other employees see contacts connected through current ownership, original potential-setter attribution, meeting-setting, or current or most recent campaign assignment. Other client users see those same owned or assigned rows, plus prospects labeled Forward to Client. Booking stays employee-only. Use the visible filters to focus the work available to you.
Filter the list
Use Search, All Statuses, All Campaigns, and All Set By for the main view. Select Filters for advanced setter, campaign, date, contact, company, activity, call, email, cadence, and custom-field conditions. Active filter chips can be removed individually. Past potentials reveals older records when available.
Arrange and expand the table
Choose Columns to show, hide, reorder, or reset the supported owner-free field set. Select a supported heading to sort. Expand a row for notes, follow-up timing, engagement, history, contact details, and available actions.
Review and retry contact notes
Expand an employee-accessible row to open its call history, engagement history, and Notes. Loading notes appears during the read. If the notes request fails, SalesHive shows Could not load notes. Try again with Retry instead of treating the history as empty. Select Retry to load the same contact thread again.
Review prospect context
Read the contact, company, campaign, source, Potential status, original Set By attribution, created date, last-contacted temperature, engagement stage, follow-up counts, last follow-up, and Follow-up date columns. Set By remains unchanged when working ownership changes, and Unattributed means no reliable historical setter is available. A local-time badge appears when a phone number provides a prospect timezone.
Follow up or call
Use the row Call action only when the prospect is currently eligible and an active or paused campaign can supply dial settings and a script. SalesHive keeps an unavailable prospect visible but disables its checkbox and Call control with the reason. Reasons include terminal or booked status, contact or domain blocking, another booked or qualified contact at the company, another SDR already claiming the prospect in an active dial session, or no usable campaign. Eligible calls open the campaign-scoped Dialer.
Keep bulk actions inside the current view
Bulk selection and Dialer URLs use only callable rows currently visible under the active filters. Select all skips unavailable prospects, the actionable and callable totals use the same eligibility decision, and each campaign button contains only its eligible contacts. If filters or availability change, hidden or unavailable rows do not enter the visible bulk bar or Dialer URL. Clear removes the remaining selection.
Maintain status and engagement
Use the row status select to update the Potential sub-status. The status options include active labels and terminal labels such as Unresponsive, Not interested, Unqualified, and Blacklisted. Use the engagement select to keep the automatic stage or choose a manual stage override. Follow-up date is editable in its row cell, and overdue dates are marked in the table.
Book a meeting
For an active employee-visible potential, choose Book, then enter the meeting date and time, timezone, source, optional owner, and description. Saving moves the prospect into the booked meeting workflow. Past potentials do not show the Book action. Client users can review matching rows but cannot book.
Use the designated employee presentation projection
Authorized employees can also work the embedded Potential worklist inside Pending. That projection inherits the Follow-Ups search, campaign, Set By, and due-timing filters, supports expansion and campaign-grouped calling, and links back here for the complete table. Source date editing remains limited to the approved presentation cohort.
What the buttons do
- Search prospects
- Filters by prospect name, company, campaign, email, or Set By name.
- All Statuses
- Shows all current Potential sub-statuses or narrows the table to one status such as Sent Info, Interested, Referral, Follow Up Later, Unresponsive, Not Interested, Unqualified, or Blacklisted.
- All Campaigns / Not enrolled
- Filters by campaign enrollment or shows only prospects without an enrolled campaign.
- All Set By / Unattributed
- Filters to an original Potential setter or to rows without reliable setter history.
- Filters
- Opens engagement-stage and last-contacted date-range filters.
- Past potentials
- Includes historical Potential Meeting prospects classified as terminal, including current Unresponsive, Not interested, Unqualified, or Blacklisted sub-statuses. It is off by default.
- Expand all / Collapse all
- Opens or closes every visible row's call history, engagement history, and notes panel.
- Export CSV
- Exports the prospects currently covered by the selected filters, including Set By attribution.
- Reset columns
- Restores the standard Potential Meetings table order.
- Column grip
- Drags a column or moves it with the left and right arrow keys for employees.
- Set By
- Shows who originally qualified a contact as a Potential Meeting, or Unattributed when reliable history is unavailable. It is independent of the current working Owner and can be sorted.
- Row chevron
- Expands or collapses a prospect's call history and notes.
- Status
- Updates the current Potential sub-status. Terminal values are classified behind Past potentials.
- Engagement stage
- Keeps the automatic engagement stage or applies a manual stage override.
- Follow-up date
- Sets or revises the prospect's next follow-up date. Overdue dates are marked in the table.
- Call
- Opens the campaign Dialer only when the prospect passes current calling safety checks. Otherwise it stays disabled and shows the exact reason.
- Select all filtered prospects
- Selects only currently visible prospects that are eligible for calling. Unavailable rows remain visible but unselected.
- Call campaign (N)
- Opens a campaign-scoped Dialer session for the selected visible contacts that still pass the shared calling eligibility decision.
- Clear
- Clears the current bulk selection.
- Book
- For authorized employees, opens the meeting form to convert an active potential into a booked meeting.
- View
- Opens the prospect's Contact Detail record.
- Delete potential
- Removes an active prospect from Potentials after confirmation. This action is not offered for past potentials.
- Retry
- Reads the expanded contact notes thread again after a temporary load failure.
